Archive Document Data Storage (ADDS) is proud to announce that we have not only maintained our ISO 9001 : 2000 award over the last six years, but we have also recently been awarded ISO certification in two more areas! Each certification is awarded as part of an independent, external audit process; ADDS customers can have peace of mind knowing that we have proven that we comply with world-class information security standards and that through regular audits we will make sure that our system doesn’t just remain compliant, but that it continually improves.

ISO 27001: 2013

In December 2014, we were delighted to be awarded ISO 27001: 2013 certification. Safeguarding our customers’ confidential information from unauthorised access is of the utmost importance to us, so this Information Security Management certification reassures ADDS customers that their information is in the safest of hands.

In recent years, information security threats such as personal data breaches, fire and water damage, theft and cyber crime have made headlines for the harm and expense that they have caused to organisations. By implementing ISO 27001, ADDS can ensure that access to information – including information which is printed or written on paper, stored electronically and transmitted by post or email – is appropriately authorised and protected. To reduce or eliminate the possibility of an information security breach, we ensure that our customers’ information is stored and managed according to the highest standards, with strict security processes in place for both electronic and hard copy information. Vault areas are available for additional security; sensitive media, data or physical files are stored within vaults which are fire resistant and include stand-alone alarm systems. Furthermore, these vaults are accessible to limited team members only.

As ADDS specialises in record management and storage solutions, customers’ information often needs to be safely delivered to them when it is requested. Strict transportation procedures are in place to ensure that files are delivered securely. When media such as data tapes, hard drives and laptops are being transported, the vehicles are not branded to allow for discretion while in transit.

Archive Document Data Storage recognises that information security threats are not static; therefore, we regularly review our security performance and risks with the objective of continually improving our information security. Being ISO 27001: 2013 certified means that ADDS customers can feel confident that their personal information is protected and confidentiality is being upheld.

ISO 14001: 2004

ADDS takes our commitment to the environment very seriously. As a result, we were pleased to learn in December 2014 that we were also awarded ISO 14001: 2004 certification for Environmental Management. In addition to confirming we are doing everything in our capacity to contribute to a sustainable planet, this certification also verifies our efforts to reduce waste and energy costs within our business processes, enabling us to pass on our savings to our valued clients.

We examine and consistently monitor all aspects of our business for energy and material use, focusing especially on any waste which occurs. In order to minimise waste, we determine where renewable resources can be employed, where energy savings can be achieved and where waste reduction can be influenced.

We appreciate that small changes (which are easy to do!) can make a big difference to the environment. To save electricity, we installed motion sensors in the record centre and energy-saving lightbulbs in the office. To reduce waste, we have unwanted files shredded, balled and then sent to the paper mill to be recycled. The reduction of waste must be a priority, so all ADDS team members are expected to adhere to a strict recycling policy.

ISO 9001: 2000

Maintaining a high level of customer satisfaction has always been a priority at ADDS, so acquiring ISO 9001 certification for Quality Management simply confirmed our commitment to this. Our team at ADDS are continuously striving to improve the effectiveness and efficiency of our business processes so that we can meet the expectations of our clients time after time. This certification and external audit ensures that all our processes are regularly tested and working effectively to guarantee that all our customers receive the highest quality of service.

To support our ‘culture of improvement’, Archive Document Data Storage operates an improvement and sustainability management system throughout the business with a series of tools intended to give feedback on the effectiveness of the system. Although employees give useful feedback to management, the most valuable feedback comes from our customers.

We have taken steps to gaining as much feedback as possible so that we can continually improve our services. Most importantly, we listen and act on it. For example, after receiving customer feedback, we discovered that that some customers needed our help and experience to streamline their record management process and information governance. We decided to add downloadable IAR tools on our website to educate them and support them with their information governance.
